Lab Orders

When a dentist creates a lab work order in Odento, it arrives in your order queue instantly — complete with case details, digital impressions, shade specs, and clinical notes. This guide covers receiving orders, reviewing case details, and tracking order status.

Receiving Orders

New orders appear in the Orders module with a "New" badge. You'll also receive a WhatsApp notification if you've enabled it in your settings. Each order includes:

  • Dentist and clinic details: Who placed the order and where to ship the case
  • Patient reference: Patient initials and ID (no full medical record — labs see only what's relevant)
  • Case type: Crown, bridge, denture, implant, aligner, etc.
  • Tooth specification: Tooth numbers, surfaces, and pontic/abutment details
  • Material: Zirconia, PFM, acrylic, metal, etc.
  • Shade: Shade guide value (Vita, etc.) and any custom staining instructions
  • Due date: The dentist's requested completion date
  • Digital impressions: STL or PLY files from intraoral scanners, downloadable directly
  • Physical impression (if applicable): Note that a physical impression or model will be couriered
  • Clinical notes: Any context the dentist wants to share (e.g., "patient has limited opening")

Accept or Decline

When you receive an order, you can accept it (moving it to production) or decline it with a reason. If you decline, the dentist is notified immediately and can redirect the case to another lab. Accepting an order commits you to the requested due date — if you need more time, propose a revised date before accepting.

Reviewing Case Details

Open any order to see the full case file. The detail view is organized into tabs:

  • Specifications: All the technical details — tooth numbers, material, shade, design requirements
  • Files: Digital impressions, design files, reference photos, and any additional attachments
  • Timeline: A chronological log of every event — order received, accepted, production started, quality checked, dispatched, delivered
  • Messages: Direct chat with the dentist for clarifications — no need for phone calls or WhatsApp

Digital Impressions

When a dentist sends a digital impression, the STL or PLY file is stored securely and available for download from the order detail page. Odento supports files from all major intraoral scanners:

  • 3Shape TRIOS
  • iTero Element
  • Cerec (Dentsply Sirona)
  • Medit
  • 3M True Definition
  • Any scanner that exports standard STL or PLY files

Download the file and import it directly into your CAD software. If the file is corrupted or incomplete, use the in-order chat to request a re-scan — the dentist gets a notification immediately.

Tracking Order Status

Every order moves through a defined lifecycle. Both you and the dentist can see the current status at any time:

New → Accepted → In Production → Quality Check → Dispatched → Delivered
                ↓
           Declined (with reason)

Status changes are automatic as you move cases through the production workflow. The dentist sees each update in real time, so they always know where a case stands without calling to ask.

Due Dates and Priorities

Orders are color-coded by urgency:

  • Red: Due today or overdue
  • Yellow: Due within 2 days
  • Green: Due in 3+ days

Sort your order queue by due date to always work on the most urgent cases first. If you're running behind on an order, Odento flags it and prompts you to notify the dentist with a revised delivery date.

Rush Orders

Dentists can mark orders as "rush" for an additional fee agreed between you. Rush orders appear at the top of your queue regardless of due date. Configure your rush handling policy in Settings.

Communication with Dentists

Every order includes a built-in chat thread between you and the dentist. Use it for clarifications about shade, design, or material — all messages are logged in the order timeline for reference. This replaces scattered WhatsApp messages and phone calls with a single, traceable conversation tied to the specific case.
