Symposia

Event management built for dental conferences, workshops, and CDE programs. Create events, manage registrations, sell tickets, and track attendance — all integrated with the Odento ecosystem.

Overview

Symposia is Odento's event management platform, designed specifically for the dental community. From small hands-on workshops to large-scale national conferences, Symposia handles event creation, registration, ticketing, payment collection, attendee communication, and post-event analytics.

Symposia integrates with Calendar (registered events sync to attendee calendars), Linklane (event attendance appears on professional profiles), Sparkwise (CDE credits from events flow into learning transcripts), and Neurax (automated event reminders and updates via WhatsApp).

CDE Credits

Symposia automatically issues CDE (Continuing Dental Education) credit certificates to attendees who complete the required sessions. Credits sync to the attendee's Sparkwise learning transcript.

Registration Flow

The registration flow is designed to be frictionless for attendees while collecting all necessary information for organizers:

1. Attendee visits event page
├── Views event details, speakers, schedule
└── Selects ticket type and quantity

2. Registration form
├── Auto-fills from Odento profile (if logged in)
├── Collects: name, email, phone, DCI reg number
└── Custom fields per event (e.g., dietary prefs)

3. Payment (if paid event)
├── Razorpay checkout (UPI, cards, netbanking)
   ├── GST invoice generated automatically
└── Promo code applied if valid

4. Confirmation
   ├── WhatsApp confirmation via Neurax
├── Email with ticket QR code
   ├── Calendar entry created automatically
└── Linklane profile updated with event attendance

5. Pre-event
   ├── Reminder 48h before (WhatsApp + email)
   ├── Venue details and instructions
└── Session schedule and speaker updates

6. During event
├── QR code check-in at venue
   ├── Session attendance tracking
   └── Live feedback polls

7. Post-event
├── CDE certificate issued (if applicable)
   ├── Feedback survey
└── Session recordings shared (if applicable)

Attendance Tracking

Symposia tracks attendance at the session level using QR code check-in. Each attendee receives a unique QR code in their confirmation email. At the venue, organizers scan the code using the Symposia mobile app or any QR scanner. For online events, attendance is tracked automatically based on Wave live stream viewing duration.

CDE Credit Requirements

For CDE-credited events, attendees must attend at least 80% of the credited sessions. Symposia enforces this automatically based on check-in data.

Event Analytics

Organizers get real-time and post-event analytics:

  • Registration count by ticket type and over time
  • Revenue breakdown with GST details
  • Attendance rate (registered vs. checked-in)
  • Session-level attendance and feedback scores
  • Geographic and demographic distribution of attendees
  • Speaker ratings from attendee feedback

Refund Handling

Symposia supports configurable cancellation and refund policies. Refunds are processed through Razorpay and tracked in the event's financial report.
